Rate limits and OAuth token expiry. Xero caps calls per minute and per day, so bulk pushes need batching and queuing. Tokens also need refreshing on schedule — an integration that only refreshes after a failure will fail first, usually at month-end.
How should VAT be handled?
By mapping tax rates explicitly from the source system rather than relying on defaults. Getting it wrong produces returns that need correcting, and since Making Tax Digital requires digital record-keeping, the mapping is worth agreeing with your accountant.
Can it handle payment processor fees?
Yes, and it should. A Stripe or PayPal settlement arrives net of fees, so posting only the net figure understates both revenue and costs. Splitting gross and fee into separate lines is what makes bank reconciliation match without manual adjustment.
Will it create duplicate contacts?
Only if matching rules are not defined. Xero matches on name by default, which produces duplicates the moment a name is entered slightly differently. Matching on your own identifier is more reliable and worth setting up first.
